How EquiPortal handles the information you and your barn trust us with.
Last updated: July 24, 2026
EquiPortal ("EquiPortal", "we", "us") provides barn management software for stables, their managers, staff, and horse owners. This policy explains what information we collect, how we use it, and the choices you have.
Information we collect
- Account information — your name, email address, and role, used to create and secure your account. Sign-in credentials are handled by our authentication provider, EquiAware.
- Barn and operational data — the information you add to run your barn: stalls and pastures, horses and their records, owners, staff, schedules, tasks, and announcements.
- Billing information — board rates and invoices you create. Card payments are processed by Stripe through each boarder's own secure checkout; we do not collect or store full card numbers.
- Usage and device information — basic technical data such as log entries, IP address, and browser type, used to keep the service secure and reliable.
How we use information
- To provide, maintain, and improve the EquiPortal service.
- To authenticate users and keep accounts and barn data secure.
- To process boarding invoices and payments through our payment provider.
- To send service-related messages, such as invoices, reminders, and announcements you initiate.
- To detect, prevent, and address fraud, abuse, or technical issues.
How information is shared
We do not sell your personal information. We share information only as needed to operate the service:
- Within your barn — data is visible to the managers, staff, and owners connected to that barn, according to each person's role.
- Service providers — trusted partners who help us run EquiPortal, such as Stripe for payments and our cloud hosting and authentication providers, under agreements that limit their use of the data.
- Legal reasons — when required to comply with the law, enforce our terms, or protect the rights and safety of our users.
Data retention
We keep information for as long as your account and barn are active, and as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. You can ask us to delete data associated with your account, subject to those obligations.
Security
We use administrative, technical, and organizational safeguards to protect your information, including encrypted connections and role-based access. No method of transmission or storage is completely secure, but we work to protect your data and to respond promptly to any issue.
Your choices
You can review and update much of your information directly in EquiPortal. To request access to, correction of, or deletion of your personal information, contact us using the details below.
Children's privacy
EquiPortal is intended for use by barn businesses and their staff and owners. It is not directed to children, and we do not knowingly collect personal information from children.
Changes to this policy
We may update this policy from time to time. When we do, we'll revise the "Last updated" date above, and we'll provide notice of material changes where appropriate.
